Job Description

As a Coaching Program Manager, you will oversee the end-to-end operations of a global coaching program, coordinating coaches, managing reporting and payments, and driving process improvements that support scale, consistency, and exceptional client and coach experiences.

  • The Qualifications We Seek

  • At least 8 years of experience in a related leadership or operations management role
  • Hands-on experience with Salesforce, Certinia, and Monday.com
  • Strong numerical, reporting, and process discipline with high attention to detail
  • A proactive, go-getter mindset suited for fast-paced, scaling environments
  • Excellent communication skills and ability to build trust with external consultants and internal teams
  • Comfortable working in a hybrid setup
  • Autonomous, highly driven, and motivated to elevate an established global program
  • Curiosity and comfort with AI tools and continuous process improvement
  • Strong commitment to confidentiality and cultural alignment
  • Your Daily Tasks

    Role Context & Expectations

  • Support the operational management of a global coaching program to enable focus on strategy, speaking engagements, and conferences
  • Act as the primary liaison among 18-20 external coaches or SMEs and internal teams
  • Oversee daily operations of a program running for over eight years and entering a scaling phase
  • Ensure consistency, accountability, and efficiency as the program grows
  • Maintain strict confidentiality across all communications and operations
  • Team & Reporting Structure

  • Collaborate with external consultants specializing in CSR, fundraising, and corporate responsibility
  • Coordinate with the Program Operations Manager on coach scheduling, reporting, and payments
  • Manage weekly, monthly, and quarterly communications, payments, and reporting cycles
  • Serve as the central point of contact for updates, surveys, feedback, and process adherence
  • Prepare to support future program expansion and additional consultants or rebadged resources
  • Key Responsibilities

  • Own the full lifecycle of program operations, including coach assignments, communications, reporting accuracy, payments, and feedback
  • Oversee data tracking and reporting using Salesforce, Certinia, and Monday.com
  • Generate actionable insights to improve efficiency, consistency, and experience
  • Modernize workflows using AI tools to automate communications and enhance feedback systems
  • Identify process gaps and implement best practices to improve scalability and performance
  • Success Indicators (First 90 Days)

  • Accurate coach-client matching within agreed timelines
  • Consistently updated and reliable program reports and dashboards
  • Timely and error-free coach payments
  • At least one major process or communication improvement implemented
  • Clear understanding of cross-functional roles and collaboration

  • Operate with full ownership of program success and daily operations
  • Communicate proactively to prevent escalations
  • Demonstrate high accountability, confidentiality, and attention to detail
  • Continuously identify inefficiencies and apply data-driven improvements
